Making a Reservation

Contract

Our reservation manager will work with you to complete the contract based on your group’s needs at our facility. Your contract needs to be signed and deposit received by date specified on the contract in order to secure your dates and reservation. Camp White Branch reserves the right to fill requested dates with another user group if contract and deposit are not received by this date.

Insurance Requirements

Rental groups need to provide a Certificate of Insurance showing current liability coverage in the amount of at least $1,000,000 per occurrence for bodily injury, personal injury, and property damage. The Certificate must be issued to:

The insurance must be issued for the period of rental and provide a 30-day cancellation notice. The insurance certificate needs to be sent to reservations@campwhitebranch.org at least two weeks before your check in date.

Payment Terms

A deposit of $400 needs to be made at the time of signing your contract to confirm your reservation. Full payment needs to be received at the end of your rental, unless advance written arrangements have been made.

We take major credit cards, debit card, PayPal, and checks. No cash.

Cancellation

Written notification (mail or email) is required to cancel your reservation.

Less than 30 day notice/no refund of deposit

Due to our remote location in the Willamette National Forest and potential for forest fires and snow storms, we reserve the right to cancel your reservation at any time if we feel the safety of our guests, the camp and equipment, and/or our staff might be in jeopardy. If cancellation is necessary, we will make every effort to reschedule your group or refund your deposit.

Oregon Administrative Rules for Rental Groups

The following guidelines are required by Oregon Administrative Rules (OAR 333.030/OAR 333.060) for Organizational Camps who rent or contract with groups. Adherence to and responsibility accepted for the below:

  1. Confirm that at least one person has a current first-aid with cardiopulmonary resuscitation (CPR) certification from a nationally recognized organization is present at the camp at all times and first-aid supplies to support. A photo or copy of the certification needs to be sent to the reservation manager 2 weeks prior to arrival.
  2. Do not set up anything that presents a hazard
  3. Every cabin must have an adult living with the campers/youth. We request a 1:8 ratio of adults to camper.
  4. If using the pool, you will need to provide a lifeguard and supervision. Lifeguard certification definition and supervision needs to follow OAR regulations (lifeguard/CPR/first aid required). A photo or copy of the individuals certification needs to be sent to the reservation manager 2 weeks prior to your arrival.
  5. Campfire guidelines will be provided and need to be followed for usage and only in designated sites. Children must be accompanied by an adult at all times. Local fire restrictions will be enforced.
  6. Required to include information identifying the physical location of the camp in promotional and informational materials distributed to attendees of your program.

Required to maintain a record of campers/individuals in your group on record for 3 years with a designated point of contact for us. Needs to include: Name, address, phone number, and dates of attendance.

You will be asked to sign a document sent to you with your contract stating that you understand, accept, and agree to your responsibility of the Oregon Administrative Rule requirements associated with your rental. This needs to be returned with your signed contract.

General Information

Rental groups are responsible for all set up, take down, and basic cleaning of the facility post use. We are a “leave it as you found it” facility. Setting up of the dining hall, is also required of groups contracting food service with us.

Pets are not allowed, except for service animals.

No alcohol, weapons, fire arms, fireworks, or illegal drugs on the premises

No cooking in the cabins, dormitory, or multi-purpose building is allowed

Internet and cell phone service is not available on site

Emergency calls can be made and received via our land line

At times Camp White Branch supports the local Forest Service Fire Crews during fire season by providing an area for lodging, showers, and meals. You may be asked to move some of your meal times, enforce quiet hours, and respect specific areas as off limits to campers or your group to accommodate. This can occur at any time during the fire season with limited notification. See guidelines for when firefighters on site and in our user guide for more information.

Food/Dietary Restrictions

With the recent increase in the number of allergies and different diet choices requested it presents new challenges for us. All our food is prepared in one kitchen due to how our facility is set up. At this time, we are able to accommodate the diet needs listed below and express a limit of liability for any reactions from meals provided.

Accommodate Basic: Dietary choice- vegetarian, lactose intolerance, and gluten free 

Not Able to Accommodate: Acute allergy to nuts/peanuts, celiac, dairy intolerance, and vegan

Pool Usage Requirements

If you plan on using the swimming pool during your stay in the summer. The pool is typically open from June to September, weather permitting, and can be used between 9 am and 6 pm each day. Our pool is warmed naturally by the sun so we cannot guarantee the temperature of the water during your stay.

Our staff will ensure the pool is clean, properly signed and maintained, and that chemicals are at appropriate levels for your group’s enjoyment and safety.

All groups using the pool need to provide proper supervision and a certified lifeguard as defined by Oregon Administrative Rules since we delegate this responsible to user groups on site. Details will be provided to groups wanting to use the pool and information on certification confirmation needed prior to arrival.
